What Personal Data We Collect and Why:

Customer Registration

Apex has a customer registration form, which is used to collect information to process new customer applications. It is used solely for the purpose of vetting a customer, as well as setting up their account on our systems.

When customers submit their registration information, Apex retains this information until it is no longer required. If it is no longer required for more than 2 years the data is destroyed.

Once a customer has been set up on the system, Apex will create a number of user accounts that can be used on the webshop to research stock and price information, as well as make purchases.

Acceptance of Terms and Conditions

Once the customer has been set up and is ready, users from the customer will be sent an email to activate their webshop accounts. On clicking the activation link, users will be shown the webshop’s terms and conditions, which they asked to read and accept before proceeding.

Acceptance of terms and conditions by the user is recorded as a timestamp to show proof of acceptance.

Marketing Consent

At the same time as being asked to read and accept the webshop’s terms and conditions, users will be asked if they want to do opt in to receive regular updates from Apex via email.

Receiving updates from Apex via email is optional to the user. Marketing consent is captured at this point. If a user also subscribes to the Apex email update later on then their proof of marketing consent is recorded. Users can also take away their consent at any time by submitting a request to the team who can change it.

Sign In Credentials

The Apex webshop operates in a way where you can sign in with email and password. The email is linked to the user account and cannot be shared with another user to log in.

Each month the password is automatically regenerated by Apex and is stored in the users My Account under My Details. Every month, users are sent an email which reminds them of the password change, it also contains a magic link which enables users to log in using the new password.

Contact Forms

Apex uses a partner called Forminator to collect contact data, this is used solely for customer services, media, sales or purchasing enquiries and not for marketing purposes.

When visitors or users submit a form, we capture the IP Address for spam protection. We also capture the email address and might capture other personal data included in the Form fields, such as name and telephone number.

When visitors or users submit a form we retain the data for 2 years.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

All collected data might be shown publicly and we send it to our workers or contractors to perform necessary actions based on the form submission.
